Role: Trainer for Cloud-based AI Platform (Ref: 5701)
Location: Remote - preferred near Dallas, TX
Position Summary:
The AI Platform Trainer / Training Materials Developer will support the implementation of a cloud-based Artificial Intelligence platform by developing training materials, user documentation, and role-based training sessions for City staff, administrators, and IT personnel. The selected resource will help ensure users understand how to effectively use the AI platform for document and content generation, summarization, editing, reporting, and other approved pilot use cases while following City policies for responsible, secure, and governed AI use.
The trainer will work closely with the project manager, implementation lead, technical team, City stakeholders, and subject matter experts to create practical, easy-to-follow training content that supports rapid adoption, ease of use, and consistent application across departments. Because the final solution and implementation approach may vary, the trainer must be comfortable adapting materials to the selected AI platform, proposed configuration, project timeline, and City-specific training needs.
Key Responsibilities:
- Develop a comprehensive training plan aligned to the City’s AI platform pilot, including training approach, recommended training sessions, audience groups, estimated training hours, delivery methods, and refresher options.
- Create role-based training materials for general end users, administrative users, IT personnel, and other identified stakeholder groups.
- Develop user guides, quick reference guides, job aids, FAQs, knowledge base content, slide decks, training scripts, exercises, and other documentation needed to support adoption of the AI platform.
- Provide training on approved AI platform use cases, including document generation, document formatting, summarization, editing, report generation, content review, source referencing, and responsible use of AI-generated outputs.
- Support training related to the City’s AI governance expectations, including human review, accuracy checking, protection of sensitive information, appropriate use of AI tools, and compliance with City AI use guidelines.
- Deliver training in multiple formats, including live virtual training, in-person training if required, recorded demonstrations, self-service materials, and follow-up support sessions.
- Coordinate with the implementation team to understand platform configuration, user roles, permissions, workflows, templates, dashboards, reporting features, and support resources.
- Assist with administrator and IT-focused training, including user management, configuration basics, role-based access concepts, system usage reporting, sandbox/training environment usage, and support escalation procedures.
- Prepare training materials that are clear, accessible, well organized, and appropriate for non-technical City staff.
- Collect feedback from training participants and revise materials as needed to improve clarity, usability, and adoption.
- Support pilot launch, go-live readiness, post-launch adoption, refresher training, and documentation updates as the platform configuration and use cases evolve.
- Assist in developing adoption-support materials, including communications, department-specific examples, use case walkthroughs, and practical exercises.
- Document training attendance, training completion, frequently asked questions, and recommended improvements for future phases or broader rollout.
Required Qualifications:
- Experience developing and delivering training materials for technology platforms, software implementations, digital transformation initiatives, enterprise applications, AI tools, data platforms, reporting platforms, or similar systems.
- Experience creating user guides, training decks, quick reference materials, knowledge base articles, FAQs, job aids, and self-service learning resources.
- Experience delivering training to mixed audiences, including general business users, administrative users, technical users, and leadership or stakeholder groups.
- Ability to translate technical platform functionality into clear, practical instructions for non-technical users.
- Strong written and verbal communication skills, with the ability to explain software features, workflows, and responsible-use expectations in plain language.
- Experience supporting user adoption, change management, stakeholder engagement, or go-live training for new technology solutions.
- Ability to work with project managers, implementation leads, technical staff, business users, and subject matter experts to develop accurate and useful training content.
- Strong attention to detail and ability to maintain version-controlled training materials as the solution evolves.
Preferred Qualifications:
- Experience training users on AI platforms, generative AI tools, Microsoft Copilot, Azure OpenAI, ChatGPT Enterprise, document automation tools, knowledge management tools, data/reporting tools, or similar technologies.
- Experience supporting public sector, municipal government, utility, healthcare, or other regulated environments.
- Familiarity with responsible AI practices, including human review, source verification, privacy, data protection, and appropriate use of AI-generated content.
- Experience developing training materials for document generation, summarization, reporting, dashboards, workflow automation, or knowledge retrieval systems.
- Experience creating training content for both live instruction and self-service/on-demand use, including videos, recorded demos, and knowledge base articles.
- Familiarity with accessibility considerations for training materials, including clear formatting, readable documentation, and accessible presentation practices.
- Experience supporting pilot programs, phased rollouts, or enterprise technology adoption across multiple departments.
